Position Overview
The Estimating “Construction” Administrator & Sales Assistant supports bid management, sales coordination, and administrative functions for the estimating department. This role ensures accurate bid tracking, timely submissions, and effective communication with clients and internal teams.
Key Responsibilities
Bid Management
- Set up and maintain bid tracking systems (file/server/calendar/Project Sales Achiever software).
- Distribute quotes, track bid progress, and update status from initial bid to contract or closure.
- Prepare pre-bid packages, qualification documents, and bid bonds.
- Research bid opportunities through DJC, BXWA, Reed, and other sources.
Sales Support
- Maintain bidder lists and assist with customer outreach.
- Track industry and market data in PSA.
- Schedule and document bi-weekly sales calls for target markets.
- Follow up on sales leads and maintain binders for engineers, architects, and owners.
Administrative Assistance
- Support estimating team with bid requirements and job resumes.
- Handle qualification calls and identify key contacts for bids.
- Prepare job bookings for transition to construction administration.
- Answer and direct calls related to estimating and sales.
Additional Duties
- Assist sales representatives with projects and PSA data entry.
- Update bid lists and calendars in PSA.
- Perform other tasks as assigned by management.

Salary: $70,000 – $85,000/DOE
